Workflows / Templates / Monthly re-run

The monthly re-run template: that re-plans your keywords on the 1st.

The top 10 for your keywords keeps moving after you plan. This monthly SEO workflow runs the page plan again on the first day of each month, tells the right person whether decisions are waiting, and files the new plan as a CSV. It skips a month only if last month's run is still going.

Every template asks before it spends and never publishes.

Who it is for, and what starts a run.

Who it is for

Agencies that hold a plan per client and want it current before the monthly call. In-house teams that plan once, then lose track of what Google changed since.

It works on a project that already has a plan. It re-plans the keywords the project stores; it does not import new ones.

What starts it

Schedule: the 1st of every month at 06:00 UTC by default. You can change the day, the time and the time zone in the trigger.

If last month's run is still going, this month's run is skipped rather than stacked on top of it.

The monthly SEO workflow, in the order it runs.

Each block is a step you can open in the editor. Every step keeps a receipt: inputs, outputs, evidence, provider, cost and timings.

  1. Engine group

Plans the project's stored keywords again: Fetch SERPs, Search volume, Cluster by SERP overlap, Score scope and format, Route around owned pages, Park weak pages and Labs secondary keywords. SERPs still fresh in the cache are reused; only stale ones are fetched.

  2. If/else

Checks whether the new plan left any decisions open in the review queue.

  3. Notify by email (Is true)

Emails Owners, Admins and Managers: the number of decisions that need them, and in which project.

  4. Notify by email (Is false)

With nothing to decide, it emails only the workflow owner.

  5. Export CSV

Saves the whole plan as a CSV, beside the If/else, so every month leaves a file you can drop in the client folder.

Want it weekly instead? Change the schedule to each week. Publishing a version that changes the trigger clears the standing approval, so an Owner or Admin grants it again.

Before it spends, it asks.

Approvals

A scheduled run has nobody at the gate, so it needs a standing approval. An Owner or Admin grants one for this published version, up to a per-run ceiling of $10.00 by default.

A run whose estimate is above the ceiling does not start. It waits for a person and emails the approvers. Every run still checks your monthly cap first.

What it costs

Only stale SERPs cost money. SERPs still fresh are read from the cache, which is why a re-run usually costs far less than the first plan. In our own Run 2 on serpdad.com, 408 SERPs came from the cache.

Fees go to your own DataForSEO and AI provider keys. The estimate lists one line per spending block before anything is fetched.

What you get when the run finishes.

  • An updated page plan with the same receipts and verdicts as a first run.
  • An email to Managers when decisions are waiting, or to the workflow owner when none are.
  • The month's plan as a CSV, one file per run.
  • A receipt per step in Runs: inputs, outputs, provider, estimate, actual cost and timings.

No workflow can publish to a site. Drafts and tasks wait for a person. Spending waits for an approval, and every run checks your monthly cap first.
